How QR passes stop fake entry at your Garba or event gate
Photocopied passes, shared screenshots and reused tickets cost organizers money every night. Here is how QR passes stop them, and how to run a fast, calm gate.
Ask any Garba Mandal or club owner about their gate and you hear the same stories: a colour-photocopied pass, one screenshot forwarded to five friends, last night’s pass used again tonight. Every one of these is a seat you didn’t get paid for, and a longer queue for people who did pay.
Why paper passes are easy to fake
A paper pass only proves that someone has a piece of paper. Your volunteer can’t tell a good copy from the original, and can’t know whether the same number already went in an hour ago at another gate.
How a QR pass works
- Every pass has its own code. No two passes share a QR code, even in the same booking.
- The scan checks the live list. When your volunteer scans, the code is checked against your bookings, not against what’s printed.
- A pass works once. The first scan marks it used. Any later scan shows “already used”, with the time and gate of the first entry.
- Cancelled passes stop working the moment you cancel them.
What about screenshots?
A screenshot of a real pass is just as valid as the pass, so it gets the first person in, and only the first. If five friends share one screenshot, four of them are stopped at the gate, and your volunteer sees exactly when the pass was used.
Groups and season passes
A group pass can let a family or a group of friends in with one QR code: the scanner tells your volunteer how many people to let in. A season pass is valid for several nights, with one entry each night, so it can’t be used twice on the same evening.
Setting up your gate team
- Add each volunteer as gate staff with their WhatsApp number and a PIN.
- Choose the gates each person works (Gate 1, VIP gate and so on).
- Gate staff only see the scanner: not your sales, money or attendee list.
- If someone leaves your team, remove their access and it stops at once.
A fast gate on a busy night
- Plan one scanning phone for every 300 to 400 people expected in the busiest hour.
- Keep a separate line for people buying at the gate, with your page’s QR code printed big.
- Ask people to keep their pass open on screen before they reach the front.
- Keep phones charged, on mobile data, and with a power bank at each gate.
Do a 5-minute test before gates open: book one pass, scan it once (it works), scan it again (it’s stopped). Everyone on the team then knows what both screens look like.
Before the night: a short checklist
- Passes on sale, with the right date and prices.
- Gate staff added, and each one signed in once.
- Gate QR poster printed for on-the-spot booking.
- A contact number on your page for people who need help.
